Create , maintain and enter information in databases. Answer phones end give Information to callers, take messages, or transfer calls to the right people. Greet visitors or callers and address their inquries or direct them o the appropriate people according to their needs. Use computers for various applications, such as database administration or word processing. You must have a good knowledge of the systems environments (IOS and Windows) as well as their appllcatlons. Operate office equipment such as fax machines, copiers, or telephone systems and arrange for repairs when the equipment Is not working properly. Set up and manage paper or electronic filing systems, recording information. Updating paperwork or maintaining documents, such as attendance records, correspondence or other material. Operate email systems and coordinate the flow of Information, internally or with other organizations. You must know how to configure emails from the server. Schedule and confirm appointments for clients, clients, or supervisors. Keep schedule and event calendars. Write, write , and distribute meeting notes, routine correspondence, or reports, such as monthly, statistical, or expense reports or presentations. Complete forms In accordance with company procedures. Find and attach the appropriate files to incoming correspondence that requires responses. Search to find the necessary information, using sources such as the Internet. Open, read, route and distribute Incoming mail or other materials and respond to routine letters. Review work done by others for correct spelling and grammar, make sure company formatting policies are followed, and recommend revisions. Make copies of correspondence or other printed material. Learn to operate new office technologies as they are developed and deployed. Train and assist staff with computer use. Order and distribute supplies. Prepare materials for conferences or events, such as flyers or invitations. Perform payroll functions such as maintaining timekeeping Information and processing and submitting payroll. Collect and deposit money Into accounts, disburse funds from cash accounts to pay bills, keep records of collections and disbursements, and make sure accounts are balanced. Establish procedures or work schedules and keep track of the daily work of administrative staff. Provide services to customers, such as placing orders or account Information. Prepare and send checks. Arrange conference, meeting or travel reservations for office staff. Supervise the rest of the administrative staff and provide training and orientation to new staff. Manage projects or contribute to committee or team work. Coordinate conferences, meetings, or special events, such as lunches or graduation ceremonies. Send newsletters. promotional material, or other information. Take the dictation in shorthand or by typewriter and transcnbe the information. Develop or maintain internal or external websites of the company.
The candidate must know about server management and its configuration in relation to the emails and the company’s webssite. You must know about los environment (keynote, pages , mail, and numbers). You must know about modifying pdf, png and jpg files. Knowledge of Quickbooks , Drake and Peachtree is greatly appreciated tor the position
40 hours per week, Monday through Friday, 8:00 a.m. to 5:00 p.m., $37,107.00 per year.
Job will be located at our Doral, Florida location.
